Word.now Terms of Service

By using Word.now you agree to these terms. Please read them. They are written in plain English and explain what you can expect from us and what we expect from you.

If we make material changes to these terms, we will notify registered users by email before the changes take effect. Continued use of the Service after that date constitutes acceptance of the revised terms.

1. Introduction and acceptance of terms

These Terms of Service ("Terms") govern your access to and use of the Word.now website and Service (collectively, the "Service"), operated by Word.now ("we", "us", "our") from the United Kingdom.

By accessing or using Word.now in any way, including browsing the website, creating an account, or using any of our tools, you agree to be bound by these Terms and our Privacy Policy, which is incorporated into these Terms by reference.

If you do not agree to these Terms, you must not use the Service.

If you are using the Service on behalf of a company or other legal entity, you represent that you have the authority to bind that entity to these Terms. In that case, "you" refers to the entity.

2. Description of the Service

Word.now is an AI-powered email and productivity assistant. The Service allows you to:

  • Paste or describe the content of an email you have received and receive an AI-generated reply draft
  • Save reply examples to build a "reply identity" that personalizes future generated replies to match your writing style
  • Store optional business profile information (job title, industry, company details) to improve reply relevance
  • Queue batches of email content for draft generation
  • Generate email subject lines, check email tone, and produce follow-up emails using AI dashboard tools
  • Transcribe or paste meeting transcripts and receive AI-generated meeting notes, action items, and summaries

Our core tools operate without email access. Word.now's Pro plan includes an optional inbox connection feature - If you activate it, we request read-only OAuth access to your Gmail or Outlook account to generate reply drafts in your writing style. You may revoke this access at any time. All email content processed by the core Service is content you explicitly paste or submit. It does not send emails on your behalf. All generated replies must be reviewed and sent by you manually.

The Service is provided "as is" subject to the terms below. We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice.

3. Account registration

Eligibility

You must be at least 13 years old to use Word.now. Users aged 13 to 17 must have parental or guardian consent. By registering, you represent that you meet this eligibility requirement.

Accurate information

When you create an account, you must provide a valid email address and accurate information. You must not impersonate another person or entity or use a false identity. You are responsible for keeping your account information current and accurate.

Password and account security

You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account. You must:

  • Choose a strong, unique password
  • Not share your password with anyone
  • Notify us immediately at [email protected] if you suspect unauthorised access to your account

We are not liable for any loss or damage arising from your failure to protect your account credentials.

One account per person

You may not create multiple accounts to circumvent usage limits or account restrictions. We reserve the right to merge or close duplicate accounts.

4. Acceptable use

Permitted uses

You may use Word.now for:

  • Personal professional email drafting for your own legitimate business communications
  • Drafting replies to emails you have legitimately received
  • Building a personal reply identity from email replies you have written yourself

Prohibited uses

You must not use Word.now to:

  • Generate, draft, or send spam, bulk unsolicited email, or phishing messages
  • Paste or submit content that is subject to legal professional privilege, unless you are the holder of that privilege and you accept full responsibility for doing so
  • Paste or submit content that contains sensitive personal data about others without their knowledge, including medical records, financial account details, or private communications that are not yours to share
  • Attempt to reverse-engineer, decompile, or otherwise extract the source code or underlying AI models used by the Service
  • Use the Service to harass, intimidate, defame, or threaten any person
  • Use the Service to generate fraudulent, deceptive, or misleading communications
  • Use automated scripts, bots, or scrapers to access the Service in a way that exceeds normal human usage
  • Circumvent, disable, or interfere with security features of the Service
  • Use the Service for any purpose that is unlawful under applicable law
  • Resell or sublicense access to the Service without our written permission

We reserve the right to suspend or terminate accounts that violate these acceptable use provisions, with or without prior notice depending on the severity of the violation.

Meeting transcripts and recording consent

Word.now allows you to paste meeting transcripts to generate notes, action items, and summaries. By submitting a meeting transcript, you represent and warrant that:

  • The meeting was recorded with the knowledge and consent of all required participants under applicable law
  • You have the right to share the transcript content with a third-party AI service
  • Your use of the transcript complies with any confidentiality obligations you owe to meeting participants or your organization

Recording consent laws vary by jurisdiction. In many countries and US states, all parties to a conversation must consent before it is recorded. It is your sole responsibility to understand and comply with the recording consent laws that apply to you. Word.now has no visibility into how or where your recordings were made, and we accept no liability for transcripts submitted in violation of applicable law. If you are unsure whether your recording was made lawfully, do not submit the transcript to the Service.

Word.now's meeting notes feature is a processing tool. It does not record meetings, initiate recordings, or advise on the legality of any recording. Compliance with recording consent requirements is entirely your responsibility.

5. AI-generated content disclaimer

Word.now uses artificial intelligence to generate email reply drafts. You must understand and accept the following before using the Service:

AI can make mistakes

AI-generated content can be inaccurate, incomplete, outdated, misleading, or simply wrong. The AI may misunderstand context, generate factually incorrect statements, or produce replies that are inappropriate for your specific situation. This is a known limitation of current AI technology, not a bug specific to Word.now.

You must review before sending

Every generated reply must be reviewed, edited, and approved by you before sending. Word.now provides a draft, not a finished email. You should treat every generated reply as a starting point, not a final product. You are responsible for the content of every email you send, regardless of how the draft was created.

You are responsible for what you send

Word.now is not liable for the consequences of sending a generated reply. If a generated reply contains an error, an incorrect statement, an inappropriate tone, or any other problem, and you send it without reviewing it adequately, that is your responsibility. This applies whether the error arises from a misunderstanding of your prompt, a limitation of the AI model, or any other cause.

No professional advice

Generated replies do not constitute legal advice, financial advice, medical advice, or any other form of professional advice. Do not use generated replies to communicate in legally or professionally significant situations without reviewing the output with a qualified professional.

6. No inbox access - What Word.now does and does not do

This section is important. It describes the fundamental architecture of the Service and what it means for you.

Our core tools do NOT connect to your inbox. Our core tools operate without email access. Word.now's Pro plan includes an optional inbox connection feature - If you activate it, we request read-only OAuth access to your Gmail or Outlook account to generate reply drafts in your writing style. You may revoke this access at any time.
Word.now does NOT access your emails directly. The only email content we process is text you copy and paste into the Service. Nothing happens without your active involvement.
Word.now does NOT send anything without your explicit action. Generated replies are displayed to you for review. You must copy, edit, and send them yourself. There is no auto-send feature and there never will be.
Word.now does NOT delete emails. We have no access to your email account and therefore no ability to delete emails from it. When you delete a draft request record from your Word.now account, you are deleting our copy of the text you submitted. Your emails remain untouched in your inbox.

7. Reply examples and identity data

Ownership

You own the reply example text you submit to the Service. We do not claim ownership of your writing. Word.now owns the platform, the tools, the derived style profiles, and the generated output (see Section 9 on intellectual property), but not the raw example text you submit.

License to process

By submitting reply examples to the Service, you grant Word.now a limited, non-exclusive, non-transferable license to store, process, and analyze that text for the sole purpose of generating personalized email replies for you. This license lasts for as long as the examples are stored on your account and ends when you delete them or your account.

We do not share your reply examples with other users. We do not use them to train AI models. We do not transfer them to third parties except as described in our Privacy Policy (transmission to OpenAI as part of a reply generation request).

Content restrictions for reply examples

You must not submit reply examples that contain:

  • Content that is legally privileged (such as communications with your solicitor or barrister)
  • Medical records or clinical information about any person
  • Financial account numbers, authentication credentials, or payment card details
  • Personal data about others (such as their home address, national insurance number, or other identifying information) beyond what is necessary for context
  • Content that is confidential to your employer or a client, unless you have appropriate authorisation to store it on third-party services

Your reply examples should demonstrate how you write, not contain sensitive substantive content. If you have accidentally submitted sensitive content, delete it from your account settings immediately and contact us if you have concerns.

8. Payment and subscription

Free tier

Word.now offers a free tier with limited usage. Free tier limits are subject to change. We will provide reasonable notice of reductions to free tier allowances.

Premium tier

A premium subscription unlocks higher usage limits and access to more capable AI models. Pricing is displayed on our pricing page. Subscriptions are billed on a recurring basis (monthly or annually, depending on your chosen plan).

Fair use policy

Where the Service is described as offering "unlimited" replies or generations, this means unlimited within the bounds of reasonable personal or business use by a single user. It does not mean unrestricted automated, bulk, or programmatic use.

To protect service quality for all users, the following limits apply. Monthly limits reset on the first day of each calendar month (UTC).

Free accounts - Monthly limits per tool:

  • AI draft replies (inbox): 10 per month
  • Subject line generator: 10 per month
  • Email tone checker: 10 per month
  • Follow-up email generator: 10 per month
  • Meeting notes (paste transcript): 5 per month
  • Meeting recordings: 50 per month, up to 1 minute per session

Unauthenticated (not logged in) users: up to 10 AI-generated replies per day across public tools. This limit resets at midnight UTC.

Pro accounts: unlimited use of all tools within the bounds of this fair use policy. A soft cap of 200 AI generations per day applies to prevent automated bulk use; this limit does not affect normal individual use. For meeting recordings specifically, a fair use ceiling of 200 hours of recorded audio per calendar month applies to Pro accounts. Where the Service is described as "unlimited" recordings, this means unlimited within that 200-hour monthly ceiling - It does not mean unrestricted volume regardless of scale. Users who consistently approach this ceiling may be contacted to discuss their use case.

If you reach a monthly limit you will be notified and invited to upgrade. Limits may be adjusted over time as the product evolves; material reductions to paid plan limits will be communicated in advance.

The following are not permitted under any plan, including paid plans:

  • Automated scripts, bots, or tools that send requests without direct human initiation
  • Bulk processing of emails at volumes inconsistent with individual human use
  • Using the Service to build, train, or supplement a competing AI product
  • Sharing a single account across multiple users or organizations
  • Reselling or sublicensing AI-generated output as a service

We reserve the right to throttle, limit, or suspend accounts that exceed these thresholds or that we determine are being used in a manner inconsistent with this policy. Where possible, we will notify you before taking action.

Payment processing

Payments are processed by our third-party payment processor. We do not store full credit or debit card details. By subscribing, you also agree to the payment processor's terms of service.

Cancellation

You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. You will retain access to premium features until the end of the period you have paid for. We do not offer pro-rata refunds for partial billing periods unless required by applicable consumer law.

Refunds

Refund requests are assessed on a case-by-case basis. If you believe you are entitled to a refund, contact us at [email protected]. Nothing in these Terms affects your statutory rights as a consumer under UK law.

9. Intellectual property

Word.now owns the platform

The Word.now website, software, design, brand, trademarks, and all content created by us (including comparison articles, guides, and methodology documents) are owned by or licensed to Word.now. You may not reproduce, distribute, modify, or create derivative works of our proprietary content without our written permission.

You own your content

You retain ownership of the email example text you submit and any other original content you create. As noted in Section 7, by submitting content you grant us a limited license to process it for the purpose of providing the Service.

Generated replies

AI-generated replies produced using the Service are provided to you for your use. We do not claim copyright in generated output. However, because AI outputs may inadvertently reproduce patterns from training data, you should review generated replies before using them in any context where intellectual property rights could be material.

10. Limitation of liability

To the maximum extent permitted by applicable law:

  • Word.now is provided "as is" and "as available" without warranties of any kind, express or implied, including without limitation warranties of merchantability, fitness for a particular purpose, accuracy, or non-infringement.
  • We do not warrant that the Service will be uninterrupted, error-free, secure, or free of viruses or other harmful components.
  • We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service, including but not limited to loss of profits, loss of data, loss of business, reputational damage, or the consequences of sending an AI-generated email that contains an error.
  • Our total aggregate liability to you for any claims arising under or in connection with these Terms or the Service shall not exceed the greater of (a) the amount you paid us in the twelve months preceding the claim or (b) £50.

Some jurisdictions do not allow the exclusion of certain warranties or limitation of liability for consequential damages. In those jurisdictions, our liability is limited to the fullest extent permitted by law. Nothing in these Terms excludes or limits our liability for fraud, death or personal injury caused by our negligence, or any other liability that cannot be excluded or limited by law.

11. Indemnification

You agree to indemnify, defend, and hold harmless Word.now and its operators from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in connection with:

  • Your violation of these Terms
  • Your use of the Service in a manner that causes harm to a third party
  • Content you submit to the Service that infringes a third party's rights or violates applicable law
  • Any email you send using a reply generated by the Service

We reserve the right to assume the exclusive defense of any matter subject to indemnification by you, in which case you agree to cooperate with our defense.

12. Changes to these terms

We may update these Terms from time to time. When we make material changes (changes that significantly affect your rights or obligations), we will notify registered users by email at least 14 days before the changes take effect. The updated date at the top of this page will be updated with each revision.

If you continue to use the Service after updated Terms take effect, you accept the new Terms. If you do not agree to the new Terms, you must stop using the Service and may request account deletion by contacting us.

For minor clarifications (correcting typos, adding detail that does not change your substantive rights), we may update the page without email notification.

13. Governing law and disputes

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales, except where applicable consumer law in your jurisdiction provides otherwise.

If you are a consumer based in the EU, you may also be entitled to use the European Commission's online dispute resolution platform at ec.europa.eu/consumers/odr.

We encourage you to contact us first to resolve any dispute informally before pursuing formal proceedings. Most issues can be resolved quickly by email.
