How it works

Three steps to inbox organization,
then it runs itself

No complex setup. Connect your inbox once and choose how often labels refresh - Word.now handles everything else on autopilot.

1
Connect Gmail or Outlook
OAuth sign-in grants read and label permissions. We never store email bodies. Disconnect any time with one click from your dashboard.
2
AI reads and classifies
Our model reads the sender, subject, and snippet of each email and assigns it to one of seven categories - Like a smart executive assistant.
3
Labels appear in your inbox
Gmail labels are created automatically and applied to your messages - Shown as colored chips in your existing Gmail view. Nothing to install.
4
Set your schedule
Choose how often labels refresh - Every 15 minutes, hourly, daily, or manually only. Full control over the cadence, cancel any time.

We read sender and subject only.
Never your full emails.

Word.now only reads what Gmail already shows in the inbox view - Sender, subject line, and the first line of each email. We never access full email bodies, never store your content, and you can revoke access at any time from Google's security settings.

  • Only reads sender, subject and snippet - Not full email content
  • OAuth tokens stored encrypted, deleted immediately on disconnect
  • No data sold or shared with third parties
  • Revoke at myaccount.google.com/permissions any time

Questions answered

Everything you need to know

No. We read the sender, subject, and email preview (snippet) to classify each email. Full email bodies are never sent to our servers or stored. Your data stays in Gmail or Outlook.
Word.now adds new labels under a "Word.now" parent label. It does not move emails, delete labels, or modify existing Gmail filters. Disconnecting removes Word.now's tokens - The labels themselves remain in Gmail until you delete them manually.
Accuracy depends on the clarity of the email subject and snippet. In our testing, 80–90% of emails are classified correctly on the first pass. Ambiguous emails - Like internal replies with no subject line - Are harder and may be miscategorised occasionally.
Word.now uses scheduled polling - Checking your inbox on a configurable schedule with a minimum of every 15 minutes. For most business workflows this is more than sufficient. Real-time push sync is on the roadmap for Pro accounts.
Yes. Click "Disconnect Gmail" on the inbox organizer page. This immediately deletes your stored tokens from our database. You can also revoke access directly from Google's security settings at myaccount.google.com/permissions. For a full breakdown of how Word.now stores and protects your data, see our security and privacy page. You can also learn more about the team behind it on the about page.
Yes - Word.now supports both Gmail and Outlook via Microsoft OAuth. For Outlook, categories are applied using Microsoft's email categories system rather than Gmail labels, but the same 7 AI categories apply.
